Today’s tip is for those of you who want to start doing bigger meetings in hotels.
At some stage when your team grows you will not be able physically to support all of your team members. This is the moment when you should start using the power of leverage and bring more people in one room to do the best presentation for the team. So let’s say you have great presentation skills or some of your team members has. You can use your talents to support the whole team.
If you were considering doing this already than probably you were searching for live business presentation tips all over. Let me share with you my experience and how you can make it the best and most effective meeting ever.
First of all you need to understand that you will need a team of people to set up the meeting. And it’s not only about promoting the event. You need not only good presenter but also someone responsible for greeting guests at the doors (with the smile on their face), 2-3 people at the reception desk (depending on the size of event), someone who will look after the IT equipment, sounds and lights, someone who will be a host and some people who will be seating in different parts of the room.
If you want to be perceived as a good leader than remember that you can’t just pick some people and tell them what you want them to do. It’s much better to ask your team who would like to be responsible for each part of the event. Get volunteers- they will be more engaged in their task and also will feel that they are part of the group they serve.
Obviously the speaker should be really good at speaking in front of large group of people, have prepared presentation etc. IT guy should have at least some basic knowledge about the equipment. Registration desk and people greeting at the doors obviously know what they are responsible for. You might ask why do you need team members sitting in different parts of the room? Well there are two major things these people need to take care of. First of all they need to bring energy to the room. So whenever presenter talks about some benefits they should clap their hands, be excited about given information, laugh when there is a joke thrown to audience etc. Second thing they need to deal with is the people who talk when the presentation is rolling or the people who are negative and giving their opinions loud. In first case they need to ask them to be quiet and not interrupt others. In the second scenario they need to ask this person to leave the room if they don’t like it.
As you can see there is quite a lot of things that need to be covered but don’t be afraid. You and your team will get used to it and over time it will all works like well oiled machine.
